Are Scouts Canada properties open for reservations from the general public?

Scouts Canada property bookings are open to all Scouting, Girl Guides, Cadets and other third-party ‘like-minded’ organizations. We do not accept bookings by individuals or groups from the general public.

Requests for weddings and other social events are not permitted in Ontario. If you are inquiring about a wedding or other social event in Western or Atlantic Canada, please e-mail propertybookings@scouts.ca

I don’t see the property I’d like to book listed on the camps page. When will it be available to accept reservations?

Since the pandemic, all Scouts Canada properties have not re-opened. Each camp committee must express interest in re-opening and complete a re-opening proposal in order to comply with new safety standards. If the property you are trying to book is not listed, the camp committee has not yet planned to re-open or is still completing the requirements. Please check the property's status with the camp committee.

 

 

I am not able to find the camp I’d like to book on the search map. What should I do?

If you are unable to locate a camp on our newly re-formatted map style, please be sure to type the full name of the camp, when entering the name in the search box. Many names have been formatted to include “Camp” as a prefix or suffix. For example, Barber in Central Escarpment can be found by entering “Camp Barber”. Do not search for alternative or other names that the camp may otherwise be known as locally.

I have an outstanding bill to be paid. How do I retrieve a copy of the receipt and make a payment?

Receipts and payments can be found through the Doubleknot booking system. If you haven't already set up a Doubleknot account, please follow the instructions below to create your account:

  1. Follow this link to the Doubleknot website and click “Log in”: https://www.doubleknot.com/
  2. Click “Need help logging on?”
  3. Enter your e-mail address in the box to receive a password creation e-mail and complete the necessary account set-up. Open the e-mail and follow the instructions provided by Doubleknot.
  4. Once logged into your account click “Pay Now” next to your booking details and continue through the payment process.

I’ve come across an abandoned property. Can I overtake the lease or purchase the land?

Please double-check with the municipality that the land you are inquiring about is indeed owned by Scouts Canada. If the land is owned by Scouts Canada, please e-mail properties@scouts.ca with the exact location and name of the camp or Scout hall that you are inquiring about for more information.

I’d like to use a chainsaw for maintenance purposes at a camp. How do I request authorization?

  • Before any chainsaw and/or tree-felling work is done on any Scouts Canada property, a request must be sent to the Property Operations Manager, 72 hours before any work is done. The request must be completed by submitting the outlined information at the following link: Chainsaw Request Form
    • Type of work required to be done
    • Name of the operator
    • The operator’s years of experience
    • Operator certificate demonstrating formal training as an operator (practical & theoretical)
    • A list of Personal Protective Equipment (PPE) that will be worn
    • A list of who will be at the Camp/Property when the work is being done

It is only once the approval is received that the work will be allowed to proceed. The request form must be filled in each and every time the use of a chainsaw is required. Approval will only be given for a specific job and time frame (i.e. a Weekend Work Party)

Only registered members of Scouts Canada will be authorized to use the chainsaws on any properties. Any other company, group or persons will have to provide an Organizational Hold Harmless and Indemnity Agreement (please refer to Scouts Canada BP&P for the prescribed form) and provide proof of their General Liability Insurance reflecting a combined limit of not less than $2,000,000.00 per person and specifying that Scouts Canada has been included an additional insured.

Proof of valid WSIB must also be provided. If there is a risk that a tree being felled could

Land within 10 feet of a building or electrical line, an individual certified in tree-felling must be used to complete the work.

Chainsaws shall not be used when youth are present on the property.

 

Why is a convenience fee included in my Doubleknot booking?

Convenience fees are comprised of a $2 fee plus 3 percent which is charged per transaction. These fees go directly to the software merchant and covers the cost of payment processing, system upgrades, ongoing technical support, and ensuring our online registration system meets regulatory and compliance requirements. These fees do not go to support Scouts Canada's operations. 

 

If I book a building and it is not used during the stay, can I get a refund?

Effective December 11, 2023, any balance[s] owing on invoices associated with all registrations/assets booked must be paid in full regardless of utilization. Cancellation/transfer/usage-related requests submitted to our team beyond the noted cancellation policy timeframes will not be eligible for refunds or transfers.

 

Cancellation Policy:

All Bookings

A 20% non-refundable deposit will be required up front to secure your booking. Bookings are not confirmed/secured until the deposit payment is received.

Some reservations with a value of $100.00 or less may require payment in full at the time of booking. (Some exceptions apply)

The 20% deposit payment is non-refundable but may be eligible to transfer to a new booking at the same property. (Some restrictions apply)

Doubleknot convenience fees are non-transferrable and non-refundable, as signed off upon through the booking process. The 3% and $2 convenience fee will be applied per item added to the cart at checkout.

Request to cancel a reservation with 4 weeks’ (28 days) or more in advance of the arrival date.

 

 

If the balance has been paid in full, 80% of the total payment remitted for the reservation will be refunded, and the 20% non-refundable deposit may be applied to a new reservation at the same property initially booked, using a coupon code of equal value to the 20% deposit payment.

The new reservation must be completed (arrival-departure dates) within 1 calendar year of when the original reservation was created (Eg; a reservation created online January 15, 2024 for a weekend camp arrival date of June 21, 2024, provided the cancellation request meets all criterion, a 20% coupon code will be issued which can be applied to a new reservation at the same property initially booked, with an arrival date no later than January 15, 2025. This is 1 calendar year from the original creation date of the reservation).

The 20% deposit cannot be transferred to a pre-existing booking.
Request to transfer a reservation to a different date must be submitted within the 4 weeks' (28 days or more) advance time, in writing, to be approved. Doubleknot convenience fees are non-transferrable and non-refundable, as signed off upon through the booking process.
Request to cancel a reservation with less than 4 weeks’ (27 days or less) from arrival date, but more than 2 weeks' (14 days) notice - must be requested in writing.

50% of total payment is refundable to the same credit card used at time of booking.

No shows are non-transferrable and non-refundable. Doubleknot convenience fees are non-transferrable and non-refundable, as signed off upon through the booking process.

Reservations cancelled with less than 2 weeks’ (13 days or less) from the arrival date. No refunds are eligible and the 20% deposit is non-transferrable. (This applies even if the booking was made less than 2 weeks prior to arrival).
All Bookings

Balance[s] owing will be processed automatically to the credit card on file 28 days in advance of reservation arrival date.

Refund requests to accommodate an alternative payment method will not be processed. For groups choosing to remit the 20% deposit with a balance owing at the time of booking, the 3% and $2 non-refundable convenience fee

Extenuating circumstances where Scouts Canada may be required to cancel a booking

Transfer 100% of payment to a new or pre-existing booking to the same property within 1 calendar year of when the original reservation was created (this would not be based on the original arrival date); or;

100% of the total payment received, on an approval basis, can be refunded to the credit card used at time of booking for circumstances relating to but not limited to situations which cannot be controlled by Scouts Canada

Any changes to reservations must be submitted in writing, including the Order/Registration number, and will not be accepted by phone.

**** Scouts Canada reserves the right to cancel bookings at any time. Cancellations due to Policy violation, Code of Conduct violation/ behavioural concerns, outstanding documentation/ breach of contract are 100% non-refundable.

Required documentation for third party bookings MUST be provided 72 hours prior to the reservation arrival date/time Third party bookings are not confirmed until necessary paperwork has been submitted. ****

Are fireworks displays allowed on properties?

While the fun and excitement of fireworks is enjoyable, to ensure the health and safety of groups, staff, volunteers and any nearby surrounding community, fireworks displays are not permitted on-site at any Scouts Canada property, owned or leased. Please do not attempt to light any explosive item no matter how small in size.

 

How are booking fees and taxes determined when booking a property?

Booking fees are based on relative price groups, set by camp committees and approved by the properties team. Registered Scouts Canada groups receive the lowest fee and are not taxed for booking a Scouts Canada property. Other non-profit and 3rd party like-minded organizations have higher fees and are not exempt from applicable taxes.

There are applicable convenience fees which will be generated by the system at checkout [3% + $2.00/asset added to the cart] which is common to all bookings regardless of Scouts membership or not.

 

Is alcohol/drugs permitted on-site and is there any exception for weddings and other personal events?

  • There shall be no illegal drug or substance consumed or made available during any Scout activity or on any Scout property, owned or leased.
  • You must not consume alcohol when minors are present.
  • Exceptions to the policy regarding alcohol use and consumption may be granted under the Alcohol Exception Procedure.

*Exception Procedure: Exemptions to the alcohol and drug policy go through Safe Scouting for recommendation to the CEO’s office for final review and sign-off. Any exemption to the policy would have to have an established risk assessment identifying how the event will be monitored and treat risks associated with alcohol on site while minors are present.

Therefore:

With existing policies in place, any event that intends to have alcohol and any minors onsite at the same time will need to complete the alcohol exemption request and have it approved by Safe Scouting and the CEO. Otherwise, everyone in attendance must be age of majority or older, regardless of if they are with the party who wants alcohol or not.

This includes weddings who want alcohol with other minors on site, AND weddings with alcohol who will have minors attending in their own party. For example, if the ring bearer is a minor, the camp committee will need to submit an alcohol exemption request.

*Minors are defined to include the safety of all children and youth under the age of majority whether within Scouting or not.
