🎉 New MyScouts Features: Smarter Waitlists and Faster Browsing!

We're excited to share proposed enhancements to the MyScouts registration and waitlist experience. These new enhancements are designed to help families make more informed decisions and improve overall performance when exploring group options.

📊 Know Where You Stand: Waitlist Position Indicators

Parents can now see how many other youth are already on the waitlist for a specific group. This new visibility helps you make more strategic choices by comparing waitlist volumes, making it easier to find a spot sooner.

For example:

1st Expedition A Colony has 4 youth waiting. 1st Rubber Boot B Colony has 5.
Now you can choose the option with the shortest line!

🛑 Smarter Limits: Max Two Waitlisted Groups Per Child

To ensure fairness and reduce system congestion, a child can now be added to a maximum of two waitlists at a time. If you try to add them to a third, you'll see a helpful prompt reminding you of the limit and encouraging you to pick your top two preferred groups.

🚀 Faster Group Locator Performance

Navigating densely populated areas is now quicker!
We've optimized the group locator to load fewer groups at a time, improving speed and usability. As you browse, simply click “Load more” to reveal additional nearby groups without slowing down your session.

🙌 Your Feedback Matters

These updates are based on your suggestions through the Improving MyScouts community, and we're eager to hear what you think! Explore the new features and let us know how we can continue to enhance your MyScouts experience.

    Hi everyone!

    Lots of great feedback and questions so far - I love the engagement! I'll try to answer all of the questions related to this feature release, and suggestions for additional features/enhancements to MyScouts can be submitted in this thread: https://help.scouts.ca/hc/en-ca/community/posts/37094180439444-Suggestion-Thread-Recommend-a-feature-or-improvement-to-MyScouts

    @tara asked:

    are waitlists going to be purged or are youth who are currently on multiple lists going to be removed so that they only have a waitlist space in 2 groups

    Apart from purging youth who have been on waitlists for 1+ years and are no longer interested, we aren't going to be purging waitlists. This will only restrict parents from adding youth to more than 2 waitlists once it is implemented.

    @chantelle asked

    will this be something that someone can check back in on over time? ie There were 4 on the waitlist when I add my child to the list, can I go back in and see if they are still 4, or if they have moved to 1 or 2?

    Yes, if they went back to the Group locator to find an additional group and the waitlist placement had changed, they would see the updated current number on the waitlist.

    can this be added to the main dashboard in myscouts when a parent logs in and looks at their My Family tab?

    Can you submit this as a suggestion in the suggestion thread I linked to above so it can be reviewed?

    If they hit their maximum number, can it allow them to choose one of the other two to replace with the third one they are trying to add? Or do they need to back out, remove one, and then add the new one?

    They would need to remove one of the other waitlisted groups before selecting a new one.

    @Vanessa asked:

    Is there any way for the waitlist number and group name to be visible to the family until their "My Family" tab?

    Can you clarify if you mean on the the My Family page in Join Scouts or the My Family tab in MyScouts?

    @Natasha asked:

    1. If a child is already on more than two waitlists, will they automatically be removed from the extras when this change takes effect? Or will this only apply to new waitlist requests going forward?

    2. Could we add a visible number to each waitlisted group a child has been waitlisted in, to show where the child currently stands? I imagine the Help Desk might get questions like, “My child was 5th on the list—where are they now?” Showing that number as people move could cut down on tickets and help families understand where things stand as spots open up.

    Answered 1 above already - we aren't removing anyone from the waitlist with this feature release, but there will be a confirmation of interest sent out to families who have been on the waitlist for 1+ year and disinterested youth will be removed. And 2 is very simliar to what Chantelle asked about.

  • Love the limitation on the number of waitlists the parent can add their child to. Also wonderful that parents can see the number of children on the waitlist. Perhaps a future feature add would be to show groups not currently running a program and looking to re-build by trying to recruit new Scouters/Volunteers from families on the waitlist. Parents get upset when they reach out to our help centre to ask where their child is on the waitlist for a particular group and find out that the group isn't currently running a program and need Scouters.

  • Love the smart waitlist feature. It didn't look like it currently, but will this be something that someone can check back in on over time? ie There were 4 on the waitlist when I add my child to the list, can I go back in and see if they are still 4, or if they have moved to 1 or 2? Or can this be added to the main dashboard in myscouts when a parent logs in and looks at their My Family tab?

  • This looks fantastic. I really think it’s going to make a big difference—great work to everyone involved.

    I do have two quick thoughts:

  • With youth on our Colony waitlist for many months, it would be helpful for Scouters to know the birth month of waitlisted youth (rather than just year of birth) so they can see if they will still be on the appropriate section waitlist when registration opens or have aged a year and moved up to another level (which should be done automatically and parents notified).

    And parents should be advised about this possibility at the time of joining the waitlist.

    Ideally, parents would indicate when they would like their child to join, which may be more than a year out if they want to get them waitlisted early.

  • I think this is a great change! I like the limitation on the number of groups a child can wait on. Additionally, I think it will cut down on parents asking what their child's place is on the WL, for the most part. Is there any way for the waitlist number and group name to be visible to the family until their "My Family" tab? I find families frequently forget the name of the group they have waitlisted their children for. Thanks for your work on this!
